The Information I collect

To carry out my core recruitment activities, I collect information about you which may include: your name, address and post code; private and corporate e-mail address and phone number; financial information and compliance documentation; references verifying your qualifications and experience and your right to work in the United Kingdom & EU; curriculum vitae and photograph; employment details and preferences; links to your professional profiles available in the public domain e.g. LinkedIn, Twitter, Facebook for Business or corporate website.

How I collect this information

The information I collect about you will be provided by you, either by filling out a form on my website [www.michaelsmithrecruitment.com] or by corresponding with me by phone, e-mail or otherwise. It will also include information you provide when you register to use my website, subscribe to my services, attend my events, participate in discussion boards or other social media functions on my website, enter a competition, promotion or survey, and when you report a problem with my site.

I may also obtain information about you from other sources such as LinkedIn, corporate websites, job board websites, online CV libraries, your business card, personal recommendations, and any relevant social media sites. In this case – and within 30 days of collecting – I will inform you that I hold this personal data, the source the data originated from, whether it came from publicly accessible sources, and for what purpose we intend to retain and process your personal data.

As a candidate the main reason for using your personal details is to help you find employment or other work roles that might be suitable for you. The more information I hold about you, your skillset and your ambitions, the more bespoke I can make my service. Where appropriate and in accordance with local laws and requirements, I may also use your personal data for things like marketing, profiling and diversity monitoring

As a client the main reason for using information about you is to ensure that the contractual arrangements between us can properly be implemented so that the relationship can run smoothly. From time to time I will make you aware of Candidates who I think will be the right fit for you or your organisation;

I hold your data with a view to providing future recruitment services to you and to manage our business relationships.The legal bases I rely on to do so is legitimate interest.Legitimate Interest means the interest of my business in conducting and managing my business to enable me to give you the best service/product and the best and most secure experience.

 

Where I store your personal data

All information stored on my recruitment software is secured through the Microsoft Azure Infrastructure and located at two data centres locations within Europe. Our primary centre is located in Microsoft’s Western European centre, and these facilities are secured by a series of measures, including (but not limited to) biometric access, security alarm systems and round-the-clock security staff. We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. Despite efforts regarding security, it is important to bear in mind that the internet is not a guaranteed secure environment. Personal information communicated through the internet may be intercepted by other people and I cannot guarantee the security of personal information sent to me through this website. By using this website and entering your personal data, you accept that you use this website at your own risk.

 

How long do I keep your data for

I retain different types of data for differing periods of time. The criteria I use to determine whether I should retain your personal data and how long for includes:

  • The nature of the personal data
  • Its perceived accuracy of your date
  • Your engagement levels with my services
  • Our legal obligations following an offer or when a placement has been made.

I may archive part or all of your personal data, or retain it on our financial systems but delete all or part of it from our recruitment software system. On removal, I may anonymise parts of your data – particularly following a request for suppression or deletion of your data – to ensure I do not re-enter your personal data to our database, unless you have requested us to do so.
